Subject- Warning for mistake at work

Dear (recipient’ name),

This letter is being written to draw the attention of Ms [mention the name of the employee] employed at [mention the name of the department] of our company to the matter of repeatedly arriving in the office in an improper dress code.

It has come to our observation that you have been wearing attires that do not suit our office’s culture at all. Most of your team members have been complaining about it and raised objections.

We have not paid much attention to it earlier considering the employees’ basic freedom at the workplace but last time at an important company meeting, you were seen attending it in a bold outfit which has made even our clients raise brows at us.

Through this letter, we are giving a clear warning to you to refrain from wearing such outfits again and start following what is stated clearly in our company employee handbook.

It has also been noted that you have avoided the instructions mentioned about the dress code in that handbook earlier when each new office employee is handed an employee handbook during the joining time.

This kind of behavior is just not acceptable. Being in the office, if we find you not following the instructions properly or not working in alignment with the rules and regulations of the company, then we are going to take the necessary steps against you the next time.

We hope to see a positive change in you.

Thanking you,

Regards,

You were hired in the first place due to your smart working attitude, disciplined behavior and a good sense of work responsibility, and adequate experience in this field, but in the last few days, your repeated late submission of reports has been observed by Mr. [mention the name of the person in higher rank] which you are supposed to be submitting on every [mention the date].

The work of your senior gets halted like this, which in turn makes our work suffer. The work procedure is explained to every employee upon joining here, which we are confident that you too have been informed about by not only the HR department but also by Mr. [mention the name].

Still, your repeated mistake shows that you either do have not a full understanding of the working method or you are doing it on purpose. The ultimate effect is falling on the company, which suffered some loss because of you.

If you are really facing some problems in understanding the working process of your job role, then you should have immediately consulted with your senior. Not doing so has proved you to be guilty of committing such a mistake time and again.

Holding you responsible, you are firmly warned by the management not to repeat such mistakes again as next time it will not entertain, and you will be dismissed from the job without notice.

We are hoping to see in you a changed person soon.
