The letter of termination must be written in a polite way. You should also appreciate the candidate for their contribution to the company. In this letter of termination format, you should inform why circumstances arose for the company to terminate the employee.

You must address the employee with his name and employee id. You should also assure the employee of the fact that if the need arises in the future, then the company will surely contact him.

Greetings of the day!

The purpose of writing the letter is to let you know that you are facing the termination charges and it will be effective from [date]. You have been subjected to face dismissal from the higher authority due to your inappropriate behavior and action in the premises of [company name].  You may be aware of the fact that our company is a reputed organization and therefore intolerant to the in disciplinary behavior and poor performance. 

We are sorry to inform you that you have displayed inappropriate behavior on [mention date of the incident] in the department of [name department]. It was unexpected and it should not have happened like this.  You should not have been harsh to your colleague and used humiliating words on the production floor. It not only hampered the work of your team manager but the entire production floor. 

You did not feel like coming to me and discussing the issues. It was highly disappointing. You never bothered to think that HR department is there to sort any official and even personal problem. Because of your harsh and rude words from your end and the way it had negatively impacted your colleague and the entire work environment, you were offered a warning letter. 

Even after this incident, you never felt like stopping and keeping your tongue under control. You had again misbehaved with the same person on [mention next date of the incident]. You had even physically hurt the same colleague. 

It is a case of non-compliance. We have come to the conclusion that you will not follow the rules and regulations of the company during your working hours in the office. We are sorry to inform you that your service will no longer be required from [termination date] due to insubordination.

I am sorry to inform you that you are facing termination due to your fault and lack of sense of responsibility for your work, team members and the entire production floor.

We did not expect such unruly behavior from a veteran employee like you. You had been working in the position of [position] in [company name] for a period of [time span] years. We are sorry about this. We did not want you to lose your job like this. We had actually tried our best to save you from all these issues. 

We had informed you that you will be in trouble and may face termination. But we think that you have never seemed to have followed our orders. 

It was on the day of [mention date of the incident]; you had shown unexpectedly very abusive behavior towards your co-worker. You had lost your patience and hurt him/her with rude words. Because of your unprofessional behavior, you had been served a warning letter notice. 

But you had never seemed to bother about it. You had further gone ahead and hurt again in another incident with another colleague and you had simply manhandled the person. We could not have taken this behavior anymore. You had crossed your limits and so, you have been served a termination notice due to insubordination. 

As you are termination charges, you will be doing some paperwork for the settlement of dues and fir the preparation of final paycheck for you.

It is because there have been charges against you by the senior authorities of the company. Your behavior in the company has not been welcomed with good taste by the team manager of your department and also by the senior administrative body. 

You are facing dismissal charges from the higher management team for unprofessional behavior and rude attitude. You will be leaving the company premises by [termination date]. It was quite unexpected to find you behaving like this. You are a highly qualified person and have an experience of [time span] years.

You are quite senior in age compared to rest of the team members. Instead of behaving with calmness and a positive attitude, you had lost your patience and shouted on the colleague for no reason on [mention date of incident]; it was something very inexcusable and intolerable. We had counseled you and you were adamant to not accept your mistakes.

And so, you were served with a warning letter on the same day. 

But again, you had come within disciplinary behavior and actions. You had not only verbally abused another co-worker; you had physically hit his face. It was completely intolerable. You did not feel like apologizing for your action. 

You had never felt to report to us. We could have resolved the issue then and there on [date of another incident]. We are sorry that this kind of behavior and action is completely unacceptable. Henceforth, you have been served with the termination notice and you will no longer be required from [date of termination].
