I want to let you know that I have to decline my order of the center table which I placed for the ABC apartment at X society.  I am sorry to inform you that now we don’t need that furniture because at that time we are purchasing it for the two brothers who were sharing the same apartment but now because of some conflicts they are planning to move to different places. That is why we decided to cancel that order. At the time both the brothers were comfortable with each other but now their views are not matching and it is no benefit to having furniture at this time. 

I hope you will understand the situation and will decline our order with no issues. I assure you that we will buy more furniture from you because when both the brothers will be separated then we have to purchase furniture for two different apartments. It is just a table which we are canceling but sooner we are going to purchase many other items.

I felt regretful to inform you that I have to decline the order of television which I made this week. I am so sorry but I cannot be able to take the television because my salary is not credited till now and it seems impossible for me to purchase it from my savings. I know it is not fair to you but I hope that you will understand this problem as it is not because of me but it is my company. I already make a request to them for clearing my salary but now it is totally up to them. I was excited to have it by Sunday but now my all happiness has come to an end. It is really difficult for me to pass my time after coming back from the office. 

I don’t want to say it but I have to you say it with my heavy heart to cancel my order and I will place it again as soon as possible.

I would be grateful if you consider my request because these footwears are expensive and I don’t want to let them go waste. Even I cannot give them to any other person because there will be a size issue.

Letter to Decline order due to counteroffer

I write this letter to let you know that I am declining my order of the dress I placed 2 days back. The reason behind declining my offer is that I got another counteroffer for the same dress on any other website. I am getting that dress at 50% off but you are offering only a 15% discount. it will be beneficial for me to make my purchase from another website. I am sorry but I have to do this. no customer will want to pay extra money for the same dress. They are also giving some coupons for future shopping. This all made me decline my order and I can’t resist myself to make an order from that website.

There is a big difference between 50 and 15%. No one will be interested to go for less discount for the same product. That is why I have no second thoughts about changing my decision. 

I hope that you will understand the customer’s preferences because everyone wants to save their money. It is my advice that you should fix the price of a product after surveying on all other websites. As there is a big competition in online shopping also so everyone has a wide range for making their decisions.

Letter to Decline order due to lack of availability

Dear (Name of the person),

I would like to inform you that I am going to cancel my order because I am not getting the color of my choice of the product. Initially, you promised me to provide the color I want but now you are denying that. So I have to decline my order as I don’t want to go for any other color. There is no need to make fake commitments if you cannot complete them on time. I cannot agree to wait for the next 10 days because there is no need to get that product after tomorrow.

I like that dress so much and want to wear it to my friend’s wedding but now it is too late. At the last moment, I have to rush to the market and go for another dress. You should never do this to your customers.

Despite having so much name and fame of your brand you cannot fulfill your customers’ needs. This behavior can be harmful to your prestige. There is no loss of mine because I will get any other dress for the function but in return, you will start getting the negative reviews for your brand. This careless attitude is not expected with the big names.

I hope you will take care of next time that it should not be done with any other customer. Saying no to a particular thing is never a bad idea but you should always stick to your promises which you make to your customers.
