Before writing a letter to refuse the job offer, you must actually think twice. Because you have refused the offer, you cannot claim this job again. In the same way, you should not actually hesitate to decline the offer. You may not find yourself suitable for the job. You need to give a clear explanation about it. It may be quite challenging to deny the offer. But you must be firm with your refusal and move on with next.

Dear Sir / Madam, 

I am  really feeling sorry to inform you that I [ your name] would not be able to join [ company name] in the position of [ designation]. I am thankful for sending me the offer letter for the respectful position on [ mention date]. But I am writing this letter to express my denial of this position.

I would like to clearly state that I would not be able to perform in the position. It is because I do not think that I am capable of that level of performance.

I do not deny that it is a great offer. But I think that I do not have the skills and knowledge as per the requirements of the company for this particular job. 

I had checked the information for the requirement for the position of [ position1 ] offered by your company on the popular Jobsite of [ mention jobsite] on [ mention date]. 

I applied for this particular position. I had clearly mentioned in the job application for the post of [ position 1]. In fact, I do have the potential to perform in this position. It is because I had been working in this position related to [ mention field name] for last [time span] years. 

I had also clearly stated my educational background and also in the resume about my specialization in [ specialization name ]. 

I am currently pursuing my masters in the field of [ specialization name]. I am confident that once I complete the master’s, I will surely be able to perform in the role of [ position ]. 

Till then, I need some time to prepare and groom myself. I must not deny that the position you are offering me to perform is simply great.  But it will not work for me at the moment. 

 I am sorry that I have to refuse this offer. But I am thankful for the job opportunity given to me.

I am thankful for the position that you are giving me to perform in the position of [position] in [company name]. 

As I know that [company name] is one of the renowned organizations in the entire US and has branches in different countries in Europe and Asia, getting an opportunity to work in this company is a matter of big fortune. 

However, I would not be able to work in your organization. There are certainly some issues that I am not finding to deal with and therefore I do not think that I am capable to perform. 

I am sorry to say that I am not comfortable with the shift timings in the job. It is because I have my classes during those hours that you are expecting me to perform. 

Had I been given a different shift, I would have considered it. There are other reasons also for refusing this job.  

One of them is a distance of the office is quite far from my place of residence. I stay at my own house. It would not be affordable for me to stay in a rented accommodation near to your office.  Moreover, traveling so far would not affordable option for me. I would have to spend lot of money travelling so far. 

I had also sent a salary negotiation letter for requesting for a little hike in transport allowance. But it had been denied to me. 

I had tried hard with different options to join your company and start working with you.

But all the above-mentioned circumstances are not letting me to fulfill my goals.

I am extremely sorry that I would not be able to join your company and fulfill your expectations. 

Maybe next time, I hope to find myself in better condition and join your company with no further obstacles than I had mentioned above.

I am thankful for the opportunity that I got over here.

I am writing this letter right from my home. I am under complete bed rest. 

After the day of my interview at your workplace, I had met with an accident with my bike and had fractured my feet.

I had to go to an orthopedic surgeon for the treatment of my fractured feet. I had to go through x rays and plastering of my feet. Lot of money had been spent and right now I cannot move from the bed. Joining would not be easy for me. 

I really cannot come to the office in the plastered condition. I can understand that how it will be painful for you to find another capable person like me for this job. 

I was very much interested to work in your company. The salary package that you are offering to me is highly tempting for me. I know that I will not be able to get such facilities even when I join elsewhere.  But really, I cannot help at this moment. 

It is hard for me to reject this offer. But health grounds are forcing me to do it. 

I know that I am absolutely capable for this job. But I do think that the position of [ position ] is right now ,meant for someone else. 

Thankfully, my family members are there in my support. Also I wish for better opportunities next time.

Firstly, I am not comfortable with the shift timing you are offering to me. It will indeed not help me to concentrate on the performances. 

I am writing this letter to express it frankly that the shift timing is really not suitable for me. You have selected me to work during [mention shift timing]. I do not think that my health condition will allow performing during the odd hours. 

I have suffered from jaundice and I still have some symptoms of it in my body. I am not completely well. I do believe that you will understand. 

I do think this job offer is meant for someone else. Maybe he or she will be able to contribute in those hours which will not fit me at all.  I can understand how hard it would be for you to find someone else. It is because; the hiring team had chosen me by judging on my skills and experience. 

I am extremely happy with the salary you are offering me for the position of [ position]. Even though you had not asked me about the salary but you had understood my expectations. I am really thankful for it. 

Right now, I may not be in a position to agree with the offer. Maybe I will be in a better condition to choose the job.

I am sure that I will do my best next time. I wish you thanks for the job offer.
