Use this letter if you want to prolong an employee’s probationary period to see if their performance will improve after failing to complete their trial period.

This might be the case if the employee hasn’t quite met your expectations by the time their probationary period is over. However, you still want to give them another chance and maybe even give them more time or training.

In this letter, you advise your employee that you are extending their probation, along with the reasons they failed, the reasoning behind your decision, and the requirements for passing the extension.

You must confirm that these explanations are factual, performance-related, and that there are no other circumstances that could account for the employee’s subpar performance during the probationary term.

Finally, you must ensure that your contract’s terms permit you to do so if you have chosen to prolong the employee’s probationary period.

Ensure that you will continue to evaluate and examine the employee’s performance in the same manner as you did during the initial probationary term. At each level, you might communicate your findings and any worries you or they might have while also paying attention to their comments.

Dear [Mention the name of the recipient]

Probation periods are an excellent opportunity for employers to comfort and integrate the new employees into the workplace. However, this period also helps employers in assessing the employee’s capability and suitability with the company.

While some employees will convince you after the probationary term that they are ideal for the position, others might need more time to do so.

These reassure workers that they still believe they can fulfil the responsibilities of their position; they need to demonstrate more in some areas of their work.

When a probationer’s performance is subpar but you still believe that more coaching and support would help the worker advance, you can use a Probation Extension Letter.

If an employee has missed work for an extended period of time owing to events beyond their control, the supervisors may also extend their probation period.

This can be the case if the worker didn’t quite live up to all of your expectations prior to the end of their probationary period. Even so, you ought to give them another shot and maybe even some more time or instruction.

This letter notifies your employee that their probation will be extended and explains why you decided to do so, why they failed to pass, and what they must do going forward to succeed on the extended probation.

The employee may not have fulfilled certain performance goals, but for some reason, the manager feels that extending the probation period will assist the person meet those standards.

Dear [Mention the name of the recipient]

In this article, we’ll go over some advice for handling employees who are on probation.

If you haven’t already, please read our prior post, which covers all the essential details about the probationary term in [mention the name].

A flawless hiring procedure is practically unattainable. especially if your hiring procedure is typical and includes a final job interview or practical test. Despite your best efforts, you may still hire a worker who performs poorly or who is not a good fit for your company.

The most significant benefit of the probationary period is that it allows you to evaluate new personnel while they are working for at least three months or longer.

This is what the probationary period does—it enables you to identify the new hires’ shortcomings. Some of these issues include:

not demonstrating the abilities or performance they indicated throughout the interview

poor punctuality or attendance.

does not match the organisational culture or has a personality that is incompatible.

Before offering the new hires a permanent position, you can fix these issues during the probationary term because it gives you the flexibility to manage the relationship.

You can give the new hire the chance to improve by extending the probationary term if you think they deserve another chance or need more time to adjust to working for the organisation.

There is no required “minimum” or “maximum” probationary time in Malaysia, but a probationary period of three to six months is customary.

Keep in mind that hiring a productive employee is the real goal of the probationary phase.

Sincerely,
