How to Write an Authorization Letter: 35+ Templates

An authorization letter often follows the same structure as a formal letter. Write the recipient’s name and address first when addressing an authorization letter to them. 

Include the date you wrote the letter and a subject line that describes its goal. Start the letter out with a salutation or greeting before moving on to the letter’s body.

Indicate the action to be conducted and the person’s name being approved clearly. 

Thank the receiver for their understanding and acknowledgment of your request. Finish with a complimentary ending, and don’t forget to sign your name below the signature in block letters clearly.

What is an Authorization Letter

A letter of authorization is evidence that a person has given someone else permission to act in their place. For instance, if a person is unwell or unable to pick up their vital documents, they can give written permission for a reliable individual to do so.

The authorization’s justification and legality should be made crystal clear in the letter.

An authorization letter should be formatted to include the date of writing, the recipient’s name, and specific information about the person who is authorized (such as their name and identity documentation). 

It should also include the period of the authorization, the cause of the authorizer’s absence, and the precise activities that the authorized person is expected to execute.

What to Include in Authorization Letter

Include the salutation

Instead of using first names in the salutation, start the letter with a title that is suitable, such as “Dr.,” “Ms.,” “Mr.,” or “Mr.” For a more official tone, use “Dear” or simply “To.” Use the person’s title and full name when addressing them. You can say “To whom it may concern” if you don’t know who it is specifically addressed to.

Add the recipient’s name and address

Leave one blank line between the date and the recipient’s details before writing the recipient’s name and address. It should be written in the same way as your own address. Keep in mind that the receiver is not the same as the person who has your permission to act. 

Even if a different person has been given permission to act as your proxy, address the letter to the second party engaged in the transaction. In some circumstances, you can leave the recipient’s information blank if you are unsure.

Sign the document

To sign the letter, print it out and use either blue or black ink. You have the option to add a date line after your signature. If yes, make sure to provide the date you signed the paper.

Ask the notary public to notarize the letter or have your witness sign and date it as well.

How to write an Appreciation letter (Tips)

Your name and address should be placed in the upper left corner of the page.

Use the typical business letter style by placing your contact information, such as your name and address, in the upper left corner of the page. Make care to single-space each line, including any succeeding ones.

Your name, address, and current date should be followed by one blank line. Include the whole date without any modifiers.

Make the authorization letter succinct and to the point.

Be succinct and direct in your authorization letter. Long letters might result in several interpretations. You lessen the possibility of misunderstandings or opposing interpretations by giving explicit and understandable information.

Name the responsibilities that your representative is allowed to carry out on your behalf

Give specific instructions on the tasks and obligations that your representative is allowed to do on your behalf. Make sure your letter of authorization is precise and includes all the facts of the permission you are offering.

Describe any limitations on the permission

You might also wish to note the areas that are outside your purview. Say, for instance, that the proxy is prohibited from using your medical information for any other reason than what is stated in the letter. 

Or you may specify that without your previous written agreement, the proxy is not permitted to make certain financial choices on your behalf.

Correctly format the letter.

An authorization letter is a professional business document that has to be written in a formal tone and structure. Typical business letters are written in block format. 

The paragraphs in the body shouldn’t be indented and should be single-spaced. Instead, leave a space between each paragraph as well as between the salutation and the first paragraph.

Find someone who can serve as a witness or notary public

A witness is someone who will be present when you sign the letter of authorization to confirm that you are doing so voluntarily and are not being pressured. 

It could be wise to get the letter notarized by a notary public under specific circumstances. Your state has given this person the authority to certify legal papers.
